Overview
With many assets, team members need to create the same set of tasks each time they’re included in a deal. For example, a rights holder might have five standard tasks to complete for every sponsored social media post. Entering all those tasks would get tedious quickly.
Activation flows automate the creation of common tasks to save time. Use them to quickly set up a list of tasks. If you need to make any adjustments, the process is streamlined.
Important: Before you can use an activation flow, an admin for your org must create and publish a template.
Applying a template
Begin by opening an individual deal. Ensure that the correct assets have been added to it. Then, select the gear icon and choose Activation Flow from the menu.
This will open the activation flow page. For each asset in the deal with an associated template, draft tasks will be listed for that asset. These templates can also contain deal-level tasks.
In this example, there are activation flow templates for two of the deal’s assets. Draft tasks are created for them. The “TV 15 sec spot” asset did not match a template, so no draft tasks are created for it.
There is also one deal-level task. Even though the client is getting two of the signs that have an associated "Send invoice" task, it's only created once per deal.
Adjusting tasks
Each draft task can be edited on the activation flow page. Click on any field to change it. Since there’s no need to open each task separately, this is a much faster way to review and edit tasks.
Just like in the normal Add Task window, the Subject is required and the Due Date is strongly recommended. A template may include a default due date, but you can change it if needed.
To add task members, click the icon on the task’s line and select the appropriate team members. (Note that you cannot add non-team members to a task on this page.) A template can include default task members, but you can change this as appropriate.
You can also click the + icons to add additional tasks for any asset (including those that don’t match a template) or the deal.
If a particular task should not be created, remove the check mark in the leftmost column. Finally, click the Generate button and confirm to create the tasks.
After the system shows a success message, you’ll be returned to the deal overview page. Any new tasks which you are a member of will be shown in your to do list.
