Important: This page does not apply to KORE Sponsorship users. Your assets (inventory) are managed in the CRM module and automatically imported into Activate.
Assets are all the things a rights holder can sell and a sponsor can buy: tickets, television spots, signage, naming rights, player appearances, and much more.
Assets need to be entered into Activate by a team member. A rights holder will enter all their assets into Activate. A sponsor will enter just those assets they have purchased (or plan to purchase).
Assets are divided into divisions, categories, and products. This structure is flexible so you can organize assets in a way that makes sense for your business.
Divisions are the highest level. Rights holders typically use them to divide up assets among their different teams or stadiums. (For example, major and minor league teams owned by the same organization.) For brands, the division usually represents each team you’re buying assets from.
Categories group together assets of a generally similar type. Common categories include digital, hospitality, and signage.
Products are more specific groupings within a category. Common products include apparel, email, and presenting rights.
Finally, each individual asset has its own name. There are optional fields for description and specifications.
Note: The Events tab may be disabled if an organization doesn't need this level of detail.
After creating an asset, you can assign it to an event category. Event categories make it easier to track and group the assets delivered at events. This also helps you differentiate between assets delivered at a particular event versus those which may occur at various times. For example, you might place an asset in a "Home Games" category if it should be delivered at every home game.
If an asset is not associated with an event category, you can manually schedule delivery for any date.
The list of event categories can be found in the Events tab. There, you can also add a new event category.
After creating an asset, you can assign a type to it. There are two types of assets: bank and seasonal.
Seasonal assets are allocated consistently across the relevant events. Activate applies a consistent number of the asset to every event in the event category. For example, you might have a "presenting sponsor" asset connected to the "home games" event category. Activate automatically allocates one of that asset to each home game.
If a seasonal asset is not part of an event category, the asset can only be allocated to one delivery instance.
Bank assets offer more flexibility and can be allocated in different amounts across the relevant events. If the asset is assigned to an event category, you can choose how many of the asset to deliver at each event in the category. For example, you might deliver ten of a "premium seat" asset for one event, but only four at another.
Similarly, a bank asset not assigned to an event category can be divided across multiple delivery instances. For example, a "player appearance" asset could be delivered on three different dates.
Once an asset is connected to a deal, it is listed in the deal's Assets tab. The Delivery % column displays what percentage of the contracted assets have been delivered.
If there are tasks associated with the asset, the Tasks % will show a simple calculation of how many have been completed. This percentage can be changed manually, which may be useful when tasks are of widely different complexity. To do so, click an asset's Task % field and select an option. Even if there are no tasks for that asset, you can still manually set a percentage.
Non-Team Members may not have access to every task associated with an asset. The percentages they see will reflect only the tasks they can see.
